Deactivate or remove a member
Understand account deactivation, work transfer, and permanent private-data deletion.
Open Workspace > Users, find the person by name or email, and check their role and status. Use Active, All, or Deactivated to change the list. Workspace admins and owners manage members; removing an owner requires an owner.
Change a role
Use the person's role control and choose an allowed role. Wait for the success message and check the row. The choices depend on your own role and the person's current role. Ask an owner when the required change is unavailable.
Admins cannot change an owner or assign Owner. The last active owner cannot be demoted until another active owner is appointed. Changing your own role opens a confirmation: reducing your role can remove the privileges needed to undo it. Review that warning before selecting Change my role.
Deactivate an account
Deactivate account blocks the person from signing in to every workspace. Their membership, work, and audit history are retained. This control is available from the person's primary workspace when you have the required access.
- Find the active account and select Deactivate account.
- Check the person in the confirmation and read the scope.
- Confirm Deactivate account.
You cannot deactivate yourself or the last active owner. Promote another active owner first if needed. Use the Deactivated filter and Activate to enable sign-in again. Where Restore is offered for an account without a primary workspace, restoring assigns this workspace as primary; that assignment cannot be moved later.
Remove a member and transfer work
Remove and transfer transfers shared work to an active workspace member and permanently deletes private projects and chats. Removing the primary workspace deletes the account and is allowed only after its other workspace memberships have been removed.
- Select Remove and transfer on the correct member.
- Choose an active member under Transfer work to. You can receive the transfer yourself. Search or change result pages if needed.
- Add an optional reason without sensitive information, then select Preview changes.
- Read the transfer summary, warnings, and permanent deletions. Changing the recipient or reason requires a fresh preview.
- Check the acknowledgement and select Transfer and remove only after reviewing the preview.
You cannot remove your own membership through this control. If the result says Outcome needs confirmation, use Refresh membership and history to check what happened before attempting another removal.
Purge private data
For an eligible inactive account, Purge private data permanently deletes its private projects and chat sessions across every workspace, including files and artifacts attached to those private projects. Treat the preview as a global deletion review.
This control is available to workspace admins and owners acting from the person's primary workspace. The account must be inactive and still have a primary workspace visible to you. You cannot purge your own private data through this control. An account without a primary workspace does not have this purge action.
- Select Purge private data and wait for the preview.
- Review the totals and eligibility message. Deactivation and the required retention period must be satisfied.
- Add an optional audit reason, enter
PURGEexactly, and use the dialog's purge confirmation. - Check the result. If it says more data remains because the run reached its limit, use the offered follow-up action and review again.
A follow-up purge requires its own acknowledgement. If the preview fails, use Retry preview when offered. If the person is no longer available or their status changed, refresh the Users list before continuing. Activation cannot recover data already purged.
